Capital program tracking that a board can actually read

Capital programs run for years, across many projects, funded from bonds, grants, and capital budgets, and reported to boards that expect a clear picture. PortfolioDesk tracks every capital project for budget, schedule, and risk in one portfolio, and rolls it up into reporting your program office can produce on demand instead of rebuilding each cycle.

What capital program offices struggle with

A capital program is a portfolio by nature: a design project, a construction phase, a technology component, and a closeout, each with its own budget line, schedule, and fund source. Kept in spreadsheets, the true program picture is always slightly out of date, forecast-at-completion is a manual exercise, and the projects quietly drifting over budget are found late. When the board asks where the money is going, assembling the answer takes days.

What PortfolioDesk tracks

PortfolioDesk holds each capital project with its approved budget, baselined schedule, fund source, and phase, then brings in spend and commitments from your finance system and milestone status from your schedule so budget and schedule variance are computed, not typed. Forecast-at-completion and remaining budget sit on every project, and the portfolio view groups them by program, fund source, or department.

How the AI helps

The AI reads each project's spend, schedule, and updates and drafts a plain-language status summary a program manager approves. It watches budget and schedule variance continuously and flags a capital project as at-risk or off-track before it misses a milestone, with the triggering numbers attached. It can also draft the recurring capital-program sections of a board packet from live data, so preparing the report is a review rather than a rebuild.

File-based, no rip-and-replace

You keep your finance system and schedules exactly as they are. PortfolioDesk imports a spend extract and a milestone export on a schedule, over standard file transfer, and needs no live API into your ERP. There is nothing to install inside your finance system. Full technical detail is in the integration guide.

Common questions

Can it handle multiple fund sources on one project?

Yes. Each project carries its fund source, and the portfolio rolls up by fund source as well as by program and department, so bond, grant, and capital-budget spend can be reported separately.

Do we need a live API into our finance system?

No. PortfolioDesk works from a scheduled spend extract, which every finance system can produce. API connectors are optional where they help.

Does this replace our finance system?

No. Your finance system stays the system of record for actuals. PortfolioDesk is the portfolio layer that tracks, forecasts, and reports on the program.
